Schools handle a lot of information: student records, attendance, marks, fees, timetables and messages to parents. When all of this lives on paper and in separate files, teachers spend evenings on report cards and the office spends days on fee follow-ups. A school management system brings it together. Here is what it should do for schools in Ethiopia.
Student registration and records
- One record per student: personal details, guardians, class history and documents
- Fast re-registration at the start of each year
- Transfer and leaving certificates generated from the record
- Search by name, ID, class or guardian phone number
Attendance
- Daily or per-period attendance taken by the teacher on a phone, tablet or computer
- Automatic totals per student, class and term
- Alerts to the office when a student is absent several days in a row
Marks, rosters and report cards
- Teachers enter marks once; totals, averages and ranks are calculated automatically
- Class rosters and report cards printed in the school's own format
- Report cards in English, Amharic or both, if the school needs it
- Mark entry locked after approval, so changes are controlled
Fees and payments
- Fee plans per grade, with discounts and scholarships
- Receipts for every payment and a clear balance per student
- Reminder messages to guardians before and after due dates
- Reports of collected and outstanding fees for the finance office
Communication with parents
- SMS or Telegram messages for announcements, absences and fee reminders
- A parent view (web or app) of attendance, marks and balance, if the school wants it
Dates that follow the Ethiopian calendar
Ethiopian schools plan their year on the Ethiopian calendar: 12 months of 30 days plus Pagume, with the new year on 11 September. The system should show terms, holidays and report dates in the Ethiopian calendar, with the Gregorian date beside them when needed.
Roles, privacy and backups
Student information is personal data. Each user (director, registrar, teacher, finance, parent) should see only what their role needs. Ask how the data is backed up, who can export it, and what happens to the data if the school changes supplier.
When to start
The best time to introduce a new system is before registration for the new school year. Import last year's student list, set up classes and fees, train the office and teachers, and start the year with everything in one place.
