A point-of-sale (POS) system is more than a faster cash register. Chosen well, it tells you what you sold, what is left on the shelf, which items make money and where stock goes missing. This guide lists what retail businesses in Ethiopia should check before choosing POS software.
Start with tax compliance
In Ethiopia the standard VAT rate is 15 percent under VAT Proclamation No. 1341/2024. The Ministry of Finance's tax compliance guide states that VAT-registered businesses must purchase and install a sales register machine from providers approved by the tax authority and issue a VAT invoice for their sales.
Before you buy, ask every POS supplier:
- How does the software work with your sales register machine and fiscal receipts?
- Does it show VAT separately on invoices and in reports?
- Can it produce the sales and purchase reports your accountant needs for the monthly VAT return?
If the answer is unclear, check with your tax office or accountant before you sign.
Stock control you can trust
- Barcode scanning for fast checkout and fewer typing mistakes
- Stock per shop or warehouse, with transfers between branches
- Purchases and suppliers, so stock increases when goods arrive
- Low-stock alerts before best-selling items run out
- Stock counts that compare the system with the shelf and show the difference
- Price changes with history, so you know when and by whom a price was changed
It must keep selling when the internet or power goes off
Connections and electricity can drop during busy hours. A good POS keeps selling offline and sends the sales to the central system when the connection returns, without losing or duplicating receipts. We explain how this works in Offline-First POS Architecture for Ethiopian Retail. Ask the supplier to show you an offline sale during the demo, and plan a small UPS for the till and the receipt printer.
Users, permissions and control
- A separate login for each cashier
- Manager approval for discounts, returns and deleted items
- Shift opening and closing with a cash count
- A record of who did what and when
These features protect honest staff as much as the owner.
Payments and customers
- Cash, bank transfer, card and mobile money such as telebirr on the same receipt
- Customer accounts and credit sales with payment tracking
- Optional loyalty points or member prices
Reports the owner will actually read
- Daily sales per shop, per cashier and per payment method
- Best-selling and slow-moving items
- Gross profit per item and per category
- Dates that can be shown in both the Ethiopian and the Gregorian calendar
Questions to ask in a demo
- Can I try it with a few of my own products?
- What happens to sales made offline?
- How is my data backed up, and can I export it?
- Who installs it, who trains my staff and who answers when something stops working?
- What does it cost in the first year and every year after?
